What happens to your documents

Confidentiality

Every document received, whether or not an order follows, is treated in strict confidence.
Where your profession is bound by professional secrecy, as in law, notarial practice or medicine, that duty extends to me as someone you engage to assist you.
No document is disclosed to any third party, quoted or used as an example, even anonymised, without your written consent.
A client is named on this website only with their written consent.

Retention and deletion

The document is used solely for the assignment for which you send it.
The document and its translation are kept for the duration of the assignment, then archived for 10 years, the period during which I may be held liable under Swiss law; during that time they are used only to answer a complaint.
On request, they are deleted as soon as the assignment ends; only the invoice and accounting records remain, kept for 10 years as the law requires.

A document sent for a quote that does not lead to an order is deleted within 30 days.

Why, and for how long

Your data is used to prepare the quote and to perform the service you order.
The invoice and accounting records are kept because the law requires it.
The archived file is used only to answer any complaint.
Correspondence relating to an assignment is kept for as long as its documents, 10 years at most.

Tools

Translation software installed on my computer stores previous translations and the glossary for each project; what is stored for you is used only for your work.
Other tools depend on the assignment and on your permissions: a tool you exclude in writing is not used.

Non-disclosure agreement

I will sign your organisation’s non-disclosure agreement, or offer you mine, even before receiving the document if you wish.

The form and the website

The form sends your file by email to my mailbox, hosted in Switzerland.
The website sets no cookies.
IP addresses appear only in the host’s technical logs, kept for the security of the website; they are not used to identify anyone.
Visits are counted anonymously, page by page.

Your rights

You may at any time ask what data I hold about you, have it corrected or deleted, restrict its use, object to its processing or receive it in a reusable format, by writing to philippe.lognoul@bysaro.com.
The Swiss Federal Act on Data Protection (FADP; in French, LPD) applies; the competent authority is the Federal Data Protection and Information Commissioner (FDPIC; in French, Préposé fédéral à la protection des données et à la transparence, PFPDT).
The General Data Protection Regulation (GDPR) also applies when I offer my services to people in the European Union; you may then contact the data protection authority in your country.
